The role

The Ethics & Compliance Operations Specialist will support the operational effectiveness, scalability, and continuous improvement of Nebius’ global Ethics & Compliance program.

This role is ideal for someone who combines a solid compliance foundation with strong operational, analytical, and process-improvement skills. You will help optimize compliance workflows, improve tooling and automation, support reporting and controls, and ensure the function operates efficiently and smoothly in a fast-growing international environment.

You will work closely with Ethics & Compliance, Legal, HR, IT, Finance, Sales, and business teams to ensure compliance processes are practical, scalable, well-documented, and integrated into day-to-day business operations.

Your responsibilities will include: 

Compliance Operations & Process Optimization

  • Design, implement, and continuously improve compliance workflows and operational processes across the Ethics & Compliance function.
  • Evaluate current workflows and identify opportunities to improve efficiency, consistency, scalability and cross-functional collaboration.
  • Support operational management of compliance activities including intake, approvals, tracking, documentation, follow-ups, and evidence collection.
  • Help develop and maintain compliance playbooks, templates, guidance materials, registers, and internal process documentation.
  • Maintain process documentation, ownership matrices, trackers, and audit-ready operational records.
  • Improve the user experience of compliance processes by helping make workflows, forms, and operational guidance clear and easy to use
  • Help standardize compliance processes, templates, and operational practices across the function

Systems, Tooling & Automation

  • Support ownership and day-to-day administration of existing compliance tools, workflows, and platforms, ensuring they are configured, adopted, and used effectively across the Company.
  • Support implementation, optimization, and adoption of compliance systems, workflow automation, dashboards, and reporting tools
  • Gather business and compliance requirements and translate them into workflow, system, and reporting requirements.
  • Partner with IT and business teams to improve integrations and data flows between compliance and internal systems.
  • Lead and execute change-management activities, ensuring smooth adoption of new processes, tools, and ways of working.
  • Support AI-enabled operational initiatives and process improvements within the Ethics & Compliance function
  • Maintain internal knowledge bases, process maps, operational procedures, and operational guidance resources.

Monitoring, Controls & Reporting

  • Support operational monitoring of compliance activities, workflows, and controls, including tracking, documentation, and evidence collection.
  • Maintain compliance registers, trackers, dashboards, and operational reporting materials.
  • Track key operational metrics and support data collection for management reporting and continuous improvement initiatives.
  • Help ensure accuracy, consistency, and completeness of compliance data across systems and workflows.
  • Support preparation for audits, internal reviews, and operational assessments.

Training & Awareness Operations

  • Coordinate operational aspects of compliance training and awareness activities, including scheduling, tracking, reminders, and completion reporting.
  • Support maintenance and organization of training materials, communications, FAQs, and internal guidance resources.
  • Help standardize and improve training administration processes, completion tracking and employee acknowledgment processes.

Cross-Functional Collaboration & Change Management

  • Work closely with Ethics & Compliance, Legal, HR, Procurement, Sales, Finance, and IT teams to streamline and standardize compliance-related workflows.
  • Support rollout and adoption of new tools, workflows, templates, and operational processes.
  • Help business teams navigate operational compliance processes in a clear, practical, and user-friendly way.
  • Contribute to process documentation, knowledge management, and operational consistency across the function.

We expect you to have: 

  • Degree in business, law, compliance, operations, risk, or a related field.
  • At least 5 years of experience in compliance operations, legal operations, risk operations, project/process management, or a related operational role.
  • Experience working within a corporate compliance, legal, governance, or operational environment.
  • A process-oriented problem solver who enjoys building structure, clarity, and efficiency.
  • Working knowledge of core compliance processes such as COI, ABAC, third-party risk sanctions basics, gifts & entertainment, training operations, or policy management.
  • Experience working with workflow tools and operational platforms such as Jira, Confluence, Slack, ServiceNow, SharePoint, Excel/Google Sheets, or similar systems.
  • Experience supporting or implementing process optimization, automation, or operational improvement initiatives.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Strong communication and stakeholder-management skills.
  • Structured, proactive, hands-on, and pragmatic mindset.

It will be an added bonus if you have: 

  • Experience with compliance, screening, workflow automation, or GRC tools (e.g., OneTrust, Dow Jones, Gatekeeper, ServiceNow, or similar platforms).
  • Exposure to COI, third-party risk management, ABAC, gifts & entertainment, sanctions, training operations, or policy management processes.
  • Experience supporting dashboards, reporting automation, or data analytics initiatives.
  • Experience in a fast-paced, international, listed, or tech environment.
  • Interest in AI, cloud infrastructure, and technology-driven compliance operations.
